The Cold Standard LLC ("The Cold Standard," "we," "us," or "our") operates coldstandardservice.com and provides cold plunge and cold-water immersion service and maintenance. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using our website or services, you agree to this policy.
Information We Collect
- Contact information you provide — name, mobile phone number, email address, and service address — when you request service through our website, by phone, or through a manufacturer warranty partner who dispatches a job to us.
- Service information — equipment make/model, service history, appointment details, and notes needed to perform and schedule your service.
- Billing information — processed securely through our payment provider (Stripe); we do not store full card numbers.
- Website usage data — basic analytics such as pages visited, collected to operate and improve the site.
How We Use Your Information
- To schedule, coordinate, perform, and follow up on your cold plunge service.
- To communicate with you about appointments — including tentative scheduling, arrival-window confirmations, day-of updates, rescheduling, and two-way support — by text message, email, and phone.
- To send service records, invoices, and receipts.
- To respond to your questions and provide customer support.
SMS / Text Messaging Program
The Cold Standard sends service-related (transactional) text messages to customers who have provided their mobile number in connection with a service request or an existing service relationship. This includes appointment scheduling, arrival-window confirmations, day-of updates, rescheduling notices, and two-way customer support.
- Message frequency varies based on your service activity.
- Message and data rates may apply, depending on your mobile carrier and plan.
- To opt out at any time, reply STOP to any text message. You will receive one confirmation message and then no further texts.

- Carriers are not liable for delayed or undelivered messages.
Mobile information will not be shared with third parties/affiliates for marketing/promotional purposes. Any other mentions in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. If you wish to be removed from receiving future communications, you can opt out by texting STOP.
Cold Standard Certified: Learner Data
If you enroll in a Cold Standard Certified course (CSCT, CSST or CSFO), we collect and use the following to deliver the course, assess you, and issue and verify your credential:
- Account information — your name, email address and login credentials. Your name appears on your certificate.
- Course progress — lessons viewed, time in lessons, quiz answers and scores.
- Exam records and monitoring logs — your answers, scores and timing, plus integrity events recorded during the monitored final exam, such as leaving the exam tab or window (tab switches, window blur and visibility changes). There is no webcam, microphone or screen recording. These logs are used to review exam integrity and handle appeals.
- Capstone submissions — the photos, notes and calculations you upload for practical tasks, and assessor feedback. Please keep customers' faces, addresses and personal details out of your photos.
- AI tutor and AI-assisted grading — questions you ask the in-lesson AI tutor, and the text of capstone submissions scored with AI assistance, are sent to Anthropic (the provider of the Claude AI models) to generate answers and rubric scores. A human assessor makes every capstone approval decision. Please don't include other people's personal information in tutor questions.
- Payments — tuition, retake and recertification payments are processed by Stripe. We receive payment confirmation and limited details (such as card brand and last four digits); we never store full card numbers.
- Public verification — once you earn a credential, your name, credential(s), issue and expiry dates, and status (current, expired, suspended or revoked) are shown on a public verification page reachable by your certificate code or QR. Scores, logs and capstone material are never public.
Retention. We keep course, exam and capstone records while your enrollment is active and for as long as reasonably needed afterward to verify credentials, handle appeals and meet legal, tax and accounting obligations. Credential records (name, credential, dates, status) are kept so that verification remains accurate, including after a credential expires or is revoked.
Access and deletion. You can ask to see, correct or delete your learner data by emailing service@coldstandardservice.com with the subject "Learner data request." We'll delete what we aren't required to keep. If you've been issued a credential, deleting your data also withdraws it from public verification. Enrollment is also governed by the Certification Terms.
How We Share Information
We share information only as needed to run our business and provide your service:
- Service providers who process payments (Stripe), send our messages (our SMS and email providers), provide AI features for Cold Standard Certified learners (Anthropic), and host our systems — each only for the purpose of delivering the service, and bound to protect your information.
- Manufacturer warranty partners when your service was dispatched under a manufacturer warranty, limited to the details needed to complete and document that job.
- Legal compliance when required by law or to protect our rights.
As stated above, mobile opt-in data and SMS consent are excluded from all sharing and are never provided to third parties for marketing.
Data Security & Retention
We use reasonable administrative and technical safeguards to protect your information and retain it only as long as needed to provide services, meet legal and tax obligations, and resolve disputes.
Your Choices
- Reply STOP to any text to stop receiving text messages.
- Contact us to update or correct your information, or to request that we delete information we are not required to keep.
Children's Privacy
Our services are directed to adults. We do not knowingly collect personal information from children under 13.
Changes to This Policy
We may update this policy from time to time. Changes are effective when posted on this page, with an updated effective date.
